Privacy Policy

What we collect
When you create an account, we collect your email address and the name you give us — or, if you sign in with Google, the name on your Google account. We use your first name to greet you in the app. When you complete a practice session, we save:
- The interview question you answered, your role category, interview type, and session mode.
- Your scores across five categories (relevance, structure, clarity, delivery, conciseness) and your overall score.
- Speaking metrics — words per minute and filler word count.
- Whether you supplied a resume or job description (a yes/no flag, not the documents themselves).
- Short verbatim excerpts from your answer, saved as part of your coaching feedback so your session history still makes sense when you return to it.
If you subscribe, we also store your Stripe customer identifier and your subscription status and dates. We never see or store your card number.
What we do not keep
Your video and audio recording is deleted from our server as soon as analysis finishes — including when analysis fails partway through. It is never written to our database. We also do not store the full text of your spoken answer; only the short excerpts described above are retained.
How your answer is analysed
Two separate steps, with different privacy characteristics:
- Transcription is performed by AssemblyAI, a speech-recognition service. We send them the audio track of your recording — not the video — along with a short list of names and terms drawn from the role, company, job description and resume you gave us, which helps them transcribe those words correctly. AssemblyAI processes this on our behalf and does not use it to train their models. Their privacy policy is published at assemblyai.com/legal/privacy-policy.
- Coaching feedback is generated by Claude, an AI service operated by Anthropic PBC. To do this we send Anthropic the text of your answer, the interview question, and — when you provide them — your resume text, the job description, and the role or company you named.
Anthropic processes this content on our behalf in order to return your feedback. Under our commercial agreement with Anthropic, your content is not used to train their models. Anthropic's own privacy policy is published at anthropic.com/privacy. We also send this same kind of content to Anthropic when you use the company research and resume-suggestion features.
How we use it
We use your data to generate and display your coaching feedback, show your session history, track your progress over time, enforce your free trial and subscription status, send you service emails, and improve the product. We do not sell or share your personal information for money or for cross-context behavioural advertising. We do not use your session content to train our own AI models, and we do not share it with advertising networks.
Service providers
We rely on a small number of providers, each of which processes data only to deliver the service:
- Supabase — accounts, authentication, and session history. Hosted on AWS in the US West (Oregon) region.
- Anthropic — AI coaching feedback, as described above.
- AssemblyAI — speech-to-text transcription, as described above. Receives the audio of your answer.
- Render — runs our processing server, which extracts the audio from your recording and coordinates the steps above.
- Vercel — hosts and serves the website.
- Stripe — payment processing. Card details go directly to Stripe and never reach our servers.
- Resend — sends account and billing emails.
- Google — used in two places. If you choose "Continue with Google" to sign in, Google confirms your identity to us and tells us your email address and the name on your Google account. Separately, the fonts this site is set in are delivered by Google Fonts, so loading any page requests those font files from Google and Google sees your IP address and browser type. We do not send Google your answers, your resume, or your coaching feedback.
- Sentry — error monitoring, so we find out when something breaks. It receives technical crash details only: the type of error, the part of our code it happened in, and basic browser and page information. We have configured it not to receive the contents of your requests, your IP address, or anything identifying your account, and we do not use its session-recording feature.
IP addresses
We process your IP address to apply rate limits that keep the service available, and to determine which country you are visiting from so we can enforce regional availability. We do not store your IP address in our database or use it to build a profile of you.
Data retention
Your account data and session history — including the short answer excerpts saved with your feedback — are kept for as long as your account exists. Cancelling a subscription does not delete your data; it remains available to you until you ask us to remove it. We delete your account and all associated data within 30 days of a verified deletion request. Recordings are deleted immediately after processing and are not part of this retention period.
Your rights
You can ask us to give you a copy of your data, correct it, or delete it. Email hello@bethehire.com from the address on your account and we will verify the request and act on it within 30 days. You can stop using the service at any time. We will not treat you differently for exercising any of these rights.
California residents
If you live in California, the CCPA and CPRA give you the right to know what personal information we collect and why, to request a copy of it, to ask us to correct or delete it, and to be free from discrimination for exercising those rights. The categories we collect are identifiers (your name and email address), commercial information (your subscription status), internet activity (your IP address, used as described above), and audio and text content you submit for analysis. We do not sell your personal information and we do not share it for cross-context behavioural advertising, so there is nothing to opt out of. To make a request, email hello@bethehire.com.
Children
Be The Hire is not intended for children. You must be at least 13 years old to create an account, and we do not knowingly collect personal information from anyone under 13. If you believe a child under 13 has given us their information, email hello@bethehire.com and we will delete it.
Where the service is available
Be The Hire is offered primarily in the United States. We do not serve visitors in the European Union, the European Economic Area, or Switzerland, and we block access from those regions rather than process personal data we are not set up to handle under GDPR.
Cookies
We use cookies only to keep you signed in. These authentication cookies are set by Supabase and persist between visits until you sign out or they expire — they are not session-only cookies. We do not use advertising trackers, third-party analytics, or behavioural profiling cookies of any kind, and we do not set any cookie for advertising or measurement. Loading a page does request font files from Google Fonts, as described under "Service providers"; that request does not set a cookie, but it does reveal your IP address to Google.
Separately from cookies, the answers you give on the setup screen — including your resume text and any job description you paste — are held in your browser's session storage while you complete a practice session. This is what lets your answers survive signing in partway through, so you are not asked for them twice. It stays on your own device, is never sent anywhere by that mechanism, and is discarded when you close the tab.
Security and data breaches
Data is encrypted in transit and at rest by our providers, access to your session history is restricted to your own account at the database level, and payment details never touch our servers. No service can promise perfect security. If a breach affects your personal information, we will notify you by email without undue delay, and in any case within the timeframe required by applicable law.
Governing law
This policy and any dispute arising from it are governed by the laws of the State of Texas, without regard to its conflict-of-laws rules.
Changes to this policy
If we make material changes to this policy, we will notify you by email and update the "last updated" date at the top of this page. Changes take effect on the date they are posted.
